Events funding

WANT TO APPLY FOR FUNDING?

Hamilton City Council has a strategic goal to promote the city through the support of events in Hamilton. This strategy is based on positioning Hamilton as New Zealand's premier events destination staging high-quality events, developing, retaining and supporting strategically important events, some of these being recognised as world-class.

Hamilton's Event Sponsorship fund is designed to provide support to organisations delivering events in line with Hamilton's objectives. Applicants interested in applying for funding need to ensure their event helps to achieve these objectives and meets the criteria. Hamilton receives many requests for sponsorship therefore allocation of funds is competitive.

The money is sponsorship, not a grant, and Hamilton is to be treated as any other commercial sponsor would in terms of recognition and benefits. This would be negotiated on an individual basis.


OBJECTIVES
  • To ensure best value from Council's investment and that a fair and transparent process is used in allocation of the event sponsorship funds.
  • To strategically invest in events that position Hamilton as one New Zealand's premier events destination.
  • To further develop the range of existing events to maximise the economic and social benefits to the city and increase Hamilton's reputation as a destination.
  • Establish a brand leverage strategy for Hamilton to maximise exposure through signage, media partnerships and corporate sponsorship alliances.

SHOWING YOU MEET THE CRITERIA

You'll need to show us that your event will result in at least one of the benefits listed under the criteria.

  1. Exposure and promotion for the city
    The event lifts the status, awareness or profile of Hamilton through the media exposure it receives (international/national & local). It helps position Hamilton as New Zealand's premier events destination and provides proof of Hamilton's positioning as a go-ahead, modern, achieving and well-balanced city.

  2. Economic benefits for the city
    The event increases the number of people who would normally come into the city at that time thereby providing potential benefit to local businesses. Events that bring in new money and result in people staying in Hamilton are more desirable. Supports events that bring visitors to Hamilton.

  3. Promote pride and sense of place for Hamilton residents
    The event gives local residents and those living outside Hamilton , additional entertainment choice and recreational opportunities as well as creating a more vibrant and interesting local lifestyle.

ELIGIBILITY

Applications will fall into one of the following categories:

Hallmark Event

These events have become or are becoming strongly associated with Hamilton and the level of assistance provided to them will be determined during Council's LTCCP process every three years . These events will continue to be monitored annually and release of their funds from the Hallmark 'pool' will be dependent on the agreed performance measures as outlined in each event's contract. However, to ensure the continued growth and development of these events, Council commits to a 3-year funding plan for Hallmark events.

Special Event - Sponsorship up to a value of $100,000

Applications for sponsorship for the Special events funds are invited to propose staging a free or low cost city based event, festival or activity located in public places. These events will be significant in terms of lifting the status, awareness or profile of Hamilton through media exposure. This event will bring visitors to the city thereby providing potential benefit to local businesses as well as creating community pride.

To be eligible for a Special Event fund, the event should:

  • Position Hamilton as a city of regional, national or international significance
  • Contribute to create a vibrant, energetic and non-stop city
  • Provide economic benefits to the city
  • Have broad community appeal
  • Increase visitation to the city
  • Be located within Hamilton (with exceptions to an event being held at Mystery Creek or on Lake Karapiro)
  • Have the potential to grow and develop into a Hallmark Event.

Community Event - Sponsorship up to a value of $5,000
Applications for sponsorship from the Community Events fund are invited to propose innovative, free or low cost, high profile community activities. While the primary aim of providing sponsorship to these community events is to support diversity in Hamilton, a secondary aim is to add entertainment and activity in the city.

To be eligible for a Community Event fund, the event should:

  • Be sporting, community, youth, cultural or arts based
  • Be located within Hamilton
  • Have broad community appeal
  • Have a targeted attendance of more than 1,000 people
  • Have the potential to grow and develop into a Special Event.

HOW TO APPLY

Preparing your application

The application will be assessed on the event concept, quality of information provided and its potential to satisfy Hamilton's objectives.

All proposals should be submitted using the correct application form.

Applications are considered by Hamilton City Council's event sponsorship sub-committee, which includes people with expertise in marketing, events, business and tourism. Sponsorship funding will be allocated to support the effective organisation and marketing of events, and is not intended to fund operating shortfalls.

Preparing your application for a 'Special Event' sponsorship

The application will be assessed on the event concept, quality of information provided and its potential to satisfy Hamilton's criteria in the Event Sponsorship Policy.

All proposals should be submitted using the correct application form ( PDF | WORD )and must:

  • Present a concept or broad outline of the event
  • Nominate a date, time and proposed location or venue
  • Identify who owns the event and who will be delivering or producing it and their experience
  • Provide a business plan for the event with goals, objective and strategies including milestones and organisation structure
  • Provide expected attendance numbers from local, regional and international audiences for the event
  • Outline a package offering benefits to Hamilton
  • Provide a detailed budget outlining the event costs together with cash flow projections, profit and loss forecasts. This will also include a list of confirmed and potential sponsors both financial and in-kind (with dollars confirmed/sought).
  • Provide a detailed marketing and promotional plan designed to capture target market which includes:
    • Marketing objectives
    • Marketing strategies including advertising/PR activity
    • Marketing and promotions plan budget
    • Credentials of the organisation/person executing the marketing plan
  • If available, provide an economic impact report.

All proposals must be submitted in writing on the Special Event application form.

Preparing your application for a 'Community event' sponsorship

The application will be assessed on the event concept, quality of information provided and its potential to satisfy Hamilton's criteria in the Event Sponsorship Policy.

All proposals should be submitted using the correct application form ( PDF | WORD )and must:

  • Present a concept or broad outline of the event
  • Explain the purpose of staging the event
  • Nominate a date, time and expected attendance numbers for the event
  • Provide details of the proposed location or venue
  • Outline the benefits offered to Hamilton
  • Provide a simple budget outlining the event costs together with cash flow projections, profit and loss forecasts.
  • Provide marketing and promotional plan designed to capture target markets identified

All proposals must be submitted in writing on the Community Event application form.

There are three sponsorship rounds each year. Please ensure you have allowed at least 6 months from time of submitting application to date of scheduled event.
